2.1 Why Categories Matter
Organizing materials by category helps with:
- Better procurement planning (different suppliers for different categories)
- Accurate lead time tracking
- Clearer BOM organization
- Separate inventory management
2.2 The Three Categories
| Category |
Description |
Examples |
| 🔧 Raw Materials |
Base materials for manufacturing |
Wood planks, steel sheets, plastic pellets, fabric |
| 📦 Packing Materials |
Materials for packaging the finished product |
Cardboard boxes, bubble wrap, tape, foam inserts |
| 🏷️ Labels |
Labels, stickers, tags |
Product labels, barcode stickers, warning tags, care labels |
3. Creating a BOM with Categories
Step 1: Create BOM Header
- Click
➕ Create BOM
- Enter BOM Code (e.g., BOM-CHAIR-001)
- Enter BOM Name
- Select Product from dropdown
- Set version, output quantity, status
- Click
💾 Create BOM
Step 2: Add Materials by Category
- Click 👁️ View on your BOM
- Select a category tab (Raw Materials / Packing Materials / Labels)
- Choose material from dropdown
- Enter quantity required
- Enter wastage percentage (if applicable)
- Enter lead time in days
- Click
➕ Add to BOM
- Repeat for all materials in that category
- Switch tabs and add materials to other categories
✅ Example - "Wooden Chair" BOM:
🔧 Raw Materials:
• Oak Wood Plank: 2.5 MTR, Wastage: 10%, Lead Time: 7 days
• Steel Screws 5cm: 16 PCS, Wastage: 5%, Lead Time: 3 days
• Seat Foam Padding: 1 PCS, Wastage: 0%, Lead Time: 5 days
📦 Packing Materials:
• Cardboard Box Large: 1 PCS, Wastage: 0%, Lead Time: 2 days
• Bubble Wrap: 2 MTR, Wastage: 10%, Lead Time: 2 days
🏷️ Labels:
• Product Label: 1 PCS, Wastage: 0%, Lead Time: 1 day
• Care Instructions Sticker: 1 PCS, Wastage: 0%, Lead Time: 1 day
4. Lead Time Management
4.1 What is Lead Time?
Lead time is the number of days between ordering a material and receiving it. This includes:
- Supplier processing time
- Manufacturing time (if custom)
- Shipping time
- Quality inspection time
4.2 Why Track Lead Times?
- Know when to order materials
- Calculate earliest production start date
- Plan production schedules accurately
- Avoid production delays
4.3 How Lead Times Affect Planning
Example Scenario:
You need to produce 100 chairs.
Material A: Lead time 3 days
Material B: Lead time 7 days
Material C: Lead time 5 days
Earliest Start Date: 7 days from today (longest lead time)
Action: Order all materials now, wait 7 days, then start production
5. Material Availability Checking
5.1 How It Works
- Open a BOM
- Enter "Quantity to Produce" (e.g., 100 units)
- Click
🔍 Check Availability
- System analyzes stock for all materials
- Shows results with recommendations
5.2 Understanding the Results
| Status |
Meaning |
Action Required |
| ✅ Sufficient |
Enough stock available |
None - Ready to produce |
| ⚠️ Partial |
Some stock available, not enough |
Order the shortage amount |
| ❌ Insufficient |
No stock or very low |
Order full requirement |
5.3 Smart Recommendations
The system provides actionable recommendations:
Example Recommendations:
Oak Wood Plank:
• Need: 275 MTR (for 100 chairs @ 2.5 MTR each + 10% wastage)
• Current Stock: 200 MTR
• Reserved: 50 MTR (for other orders)
• Available: 150 MTR
• 📢 Action Required: Order 125 MTR more
Steel Screws:
• Need: 1,680 PCS (100 chairs × 16 screws + 5% wastage)
• Current Stock: 2,000 PCS
• Reserved: 0 PCS
• Available: 2,000 PCS
• ✅ Sufficient - No action needed
6. Reserved vs Available Stock
6.1 Stock Types Explained
- Current Stock: Total physical stock in warehouse
- Reserved Stock: Allocated to confirmed orders
- Available Stock: Current - Reserved = What you can actually use
6.2 Why This Matters
⚠️ Important:
Just because you have stock doesn't mean it's available! Always check Available Stock not just Current Stock.
Example:
Current Stock: 500 units
Reserved for Order #001: 300 units
Reserved for Order #002: 150 units
Available Stock: 50 units
If you need 100 units for a new order, you only have 50 available → Need to order 50 more!
7. Production Planning Workflow
Step-by-Step Process:
- Receive Sales Order: Customer orders 100 chairs
- Check BOM: Open Wooden Chair BOM
- Check Availability: Enter quantity 100, click Check
- Review Results:
- Oak Wood: Need to order 125 MTR (lead time: 7 days)
- Screws: Sufficient
- Foam: Need to order 20 PCS (lead time: 5 days)
- Box: Need to order 50 PCS (lead time: 2 days)
- Order Materials: Place orders with suppliers
- Calculate Start Date: Max lead time = 7 days → Can start in 7 days
- Schedule Production: Schedule for 7 days from now
- Reserve Materials: System reserves materials when production order created
- Start Production: All materials available, begin manufacturing
8. Material Allocation
8.1 What is Allocation?
Allocation = Reserving materials for a specific production order. This prevents:
- Double-booking materials
- Stockouts mid-production
- Production delays
8.2 How It Works
- Create production order for 100 chairs
- System automatically reserves materials based on BOM
- Reserved stock = Previously reserved + New reservation
- Available stock decreases
- Other orders see reduced availability
- When order completes/cancels, materials released
9. Best Practices
9.1 Material Categories
- Always organize materials by correct category
- Raw materials = things you transform
- Packing = things you add at the end
- Labels = things you stick on
9.2 Lead Times
- Be realistic - add buffer for delays
- Update lead times quarterly based on actual experience
- Track by supplier (different suppliers = different lead times)
- Include inspection time in lead time
9.3 Wastage
- Set wastage based on historical data
- Review and adjust monthly
- Higher wastage for cutting/machining operations
- Zero wastage for pre-packaged items
9.4 Availability Checking
- Always check before confirming orders to customers
- Check availability weekly for planned orders
- Order materials immediately when shortages identified
- Consider safety stock for critical materials
10. Troubleshooting
Issue: Materials don't show in category dropdown
Solution:
- Check material type matches category (raw materials for Raw Materials tab)
- Ensure materials are created and active
- Refresh the page
Issue: Availability shows "Insufficient" but I have stock
Solution:
- Check Available Stock not just Current Stock
- Stock may be reserved for other orders
- View material allocations to see what's reserved
Issue: Lead time calculation seems wrong
Solution:
- System uses maximum lead time across all materials
- Check individual material lead times
- Earliest start = Today + Max Lead Time
11. FAQs
Q: Can I move a material to different category after adding?
A: Yes! Delete the material from BOM and re-add it in the correct category tab.
Q: What happens if I don't set lead times?
A: System defaults to 0 days, meaning materials assumed immediately available. This may cause planning issues.
Q: How often should I check availability?
A: Best practice:
- Before confirming customer orders
- Weekly for upcoming production schedule
- After receiving new orders
- When planning material purchases
Q: Can the same material be in multiple categories?
A: Technically yes, but not recommended. Choose the most appropriate category.
Q: What's the difference between BOM and BOM Advanced?
A:
- BOM: Basic material list
- BOM Advanced: Categories + Lead times + Availability + Planning
