📖 About This Manual: This guide will help you manage materials effectively in your production planning system. Learn how to add, edit, track stock, and manage material inventory.
1. Introduction
The Materials Management module is the foundation of your production planning system. It allows you to:
- Maintain a complete database of raw materials, components, and consumables
- Track stock levels in real-time
- Set reorder points and monitor low stock situations
- Manage supplier information
- Calculate total stock value
- Support production planning with accurate material data
2. Getting Started
2.1 Accessing Materials
- Login to ProductionPlannerPro
- Click on 📦 Materials in the left sidebar
- The Materials Management dashboard will load
2.2 Dashboard Overview
When you open the Materials page, you'll see:

3. Adding a New Material
Step-by-Step Guide:
- Click the
➕ Add Material button in the top right
- A modal window will open with a form
- Fill in the required fields (marked with *)
- Click

3.1 Basic Information
- Material Code * - Unique identifier (e.g., MAT-001, RM-STEEL-001)
- Material Name * - Descriptive name (e.g., "Steel Sheet 1mm")
- Material Type * - Select from:
- Raw Material - Basic materials
- Component - Purchased parts
- Sub Assembly - Assembled components
- Finished Good - Final products
- Consumable - Supplies used in production
- Category - Optional grouping (e.g., "Electronics", "Metals")
- Description - Additional details about the material
3.2 Stock & Units
- Unit of Measure * - How the material is counted:
- PCS - Pieces
- KG - Kilograms
- LTR - Liters
- MTR - Meters
- SQM - Square Meters
- BOX - Boxes
- Current Stock - Starting stock quantity
- Standard Cost - Cost per unit
- Reorder Level - Minimum stock before reordering
- Reorder Quantity - Standard order quantity
- Lead Time (days) - Typical procurement time
💡 Tip: Set your reorder level to ensure you never run out of critical materials. A good rule of thumb is: Reorder Level = Lead Time (days) × Daily Usage + Safety Stock
3.3 Supplier Information
- Supplier Name - Primary supplier
- Supplier Part Number - Supplier's reference code
- Barcode - For scanning/tracking
- SKU - Stock Keeping Unit
3.4 Status
- Active - Material is in use
- Inactive - Material is discontinued or not currently used
4. Editing Materials
- Find the material in the table
- Click the

- The form will open with current data
- Make your changes
- Click
💾 Save Material
⚠️ Note: Material Code cannot be changed after creation. If you need a different code, create a new material and mark the old one as inactive.
5. Stock Management
5.1 Updating Stock Levels
- Click the

- A stock update modal will open
- Select the update type:
- Add Stock (Receive) - Increase stock (e.g., receiving shipment)
- Remove Stock (Issue) - Decrease stock (e.g., using in production)
- Set Stock (Adjustment) - Set exact stock level (e.g., after physical count)
- Enter the quantity
- Click

5.2 Stock Examples
Example 1 - Receiving Stock:
Current Stock: 100 PCS
Action: Add Stock
Quantity: 50
Result: New Stock = 150 PCS
Example 2 - Issuing to Production:
Current Stock: 150 PCS
Action: Remove Stock
Quantity: 25
Result: New Stock = 125 PCS
Example 3 - Physical Count Adjustment:
Current Stock: 125 PCS
Action: Set Stock
Quantity: 120 (actual counted)
Result: New Stock = 120 PCS
6. Search & Filters
6.1 Search
Use the search box to find materials by:
- Material Code
- Material Name
- Category
Search is real-time - results update as you type.
6.2 Type Filter
Filter materials by type:
- All Types
- Raw Material
- Component
- Sub Assembly
- Finished Good
- Consumable
6.3 Stock Status Filter
Filter by stock situation:
- All Status - Show everything
- Normal Stock - Above reorder level
- Low Stock - At or below reorder level
- Out of Stock - Zero quantity
7. Stock Status Indicators
Materials are automatically tagged with status badges:

8. Deleting Materials
- Click the

- Confirm the deletion in the popup
- Material status changes to "Inactive" (soft delete)
💡 Note: Materials are never permanently deleted from the database. They are marked as "Inactive" to preserve historical data and relationships.
9. Best Practices
9.1 Material Codes
- Use a consistent naming convention (e.g., RM-XXX for raw materials, COMP-XXX for components)
- Include meaningful identifiers in the code
- Keep codes short but descriptive
9.2 Stock Management
- Update stock levels immediately after receiving or issuing
- Perform regular physical stock counts and adjustments
- Set realistic reorder levels based on actual usage
- Monitor the Low Stock dashboard card regularly
9.3 Reorder Levels
- Calculate based on: (Daily Usage × Lead Time) + Safety Stock
- Review and adjust quarterly based on actual consumption
- Set higher safety stock for critical materials
9.4 Data Quality
- Keep descriptions clear and detailed
- Always include supplier information
- Update costs regularly to reflect current prices
- Use categories consistently for better filtering
10. Troubleshooting
Issue: Can't find a material
Solution:
- Check if you're using the correct search term
- Clear all filters (set to "All Types" and "All Status")
- Check if material status is "Inactive"
Issue: Stock value seems wrong
Solution:
- Verify the Standard Cost is correct
- Check if Current Stock is accurate
- Perform a stock adjustment if needed
Issue: Can't update stock
Solution:
- Ensure you have proper permissions
- Check that quantity is a valid number
- For "Remove Stock", ensure sufficient stock is available
11. FAQs
Q: What's the difference between Category and Type?
A: Type is a fixed classification (Raw Material, Component, etc.) while Category is a custom grouping you can define (Electronics, Metals, etc.).
Q: Can I change the Material Code after creation?
A: No, Material Code is permanent. Create a new material with the correct code and mark the old one inactive.
Q: How is Stock Value calculated?
A: Stock Value = Current Stock × Standard Cost for each material, summed across all materials.
Q: What happens when I delete a material?
A: The material is marked as "Inactive" but remains in the database. It won't appear in normal lists but preserves historical data.
Q: Can I import materials from Excel?
A: This feature is planned for a future update. Currently, materials must be added individually.
Q: How do I set up automatic reorder alerts?
A: Set the Reorder Level for each material. The system tracks this and displays low stock items in the dashboard.
