The Sales Orders module is your comprehensive system for managing customer orders from creation to delivery. Specifically designed for export-oriented businesses with complete shipping and logistics features.

Access Sales Orders by clicking "📦 Sales Orders" in the left sidebar.

The dashboard shows:

  1. Click "Create Order" button
  2. Fill in Basic Information (Order #, Customer PO, Customer)
  3. Add Description
  4. Set Dates (Order, Required, Loading)

💡 Quick Tip: Fields marked with * are required. All other fields are optional but recommended.

📝 Understanding All Fields

Order Number *

Unique identifier (e.g., SO-2024-001). Cannot be changed after creation.

Customer PO Number

Your customer's purchase order number. Essential for cross-referencing.

Example: PO-ABC-12345

Description

Detailed product description and specifications. Appears on PDFs.

Example: High-grade organic cotton t-shirts, 180 GSM, pre-washed. Sizes: S-XXL. Colors: White, Black, Navy. GOTS certified.

Loading Methods:

💡 Smart Feature: Pallet type dropdown appears when you select "Palletizing". Custom size field appears when you select "Custom" pallet.

🏷️ Labeling Requirements

Specify all labeling and marking requirements:

Example:
Each carton must have:
- Customer logo (top center, 10cm × 5cm)
- Barcode: EAN-13 format
- Product code: ABC-12345
- Country of Origin: "Made in Sri Lanka"
- "Handle with Care" stickers

⚠️ Special Instructions

Use for special handling, storage, or shipping requirements:

Example:
- Store in climate-controlled environment (15-25°C)
- Handle with care - fragile items
- Maximum 5 cartons per stack
- Insurance coverage required
- Pre-shipment inspection mandatory

✏️ Editing Orders

  1. Find the order
  2. Click "View" button
  3. Click "Edit Order"
  4. Modify fields (except Order Number)
  5. Add/remove products
  6. Click "Save Changes"

📥 Viewing & PDF Export

To Download PDF:

  1. Click "View" on any order
  2. Click "Download PDF"
  3. New tab opens with formatted order
  4. Click "Print / Save as PDF"
  5. Select "Save as PDF"
  6. Filename automatically = Order Number
  7. Save

Search by:

Type in search box - results update in real-time.

💡 Best Practices

  1. Always enter Customer PO
  2. Complete descriptions with all specs
  3. Set loading date early
  4. Specify shipping method promptly
  5. Detail labeling requirements
  6. Use special instructions field
  7. Review before saving
  8. Keep orders updated

❓ FAQ

Can I change order number after creation?

No. Order numbers are permanent. You can edit all other fields.

What if I don't know container type yet?

Leave it blank. You can edit and add later.

When should I use custom pallet size?

When customer specifies non-standard dimensions or special requirements.

Can I have multiple products in one order?

Yes! Click "Add Product" multiple times.

What's the difference between Notes and Special Instructions?

Notes are internal (for your team). Special Instructions appear on PDFs and are shared externally.

🆘 Troubleshooting

Pallet dropdown not showing

Solution: Make sure "Palletizing" is selected as loading method.

Custom pallet field not appearing

Solution: Select "Palletizing" first, then select "Custom" pallet type.

Cannot edit order

Solution: Click "View" first, then click "Edit Order" button in modal.

PDF not downloading

Solution: Check if pop-ups are blocked. Allow pop-ups for this site.

Changes not saving

Solution: Ensure all required fields (*) are filled. Check browser console for errors.
